Set up salon booking before opening: a practical checklist

By LUXNOUS · Magyar

Before you share your salon’s booking link, check that a customer can choose the right service, person and available time. Then check that the appointment appears correctly in your working calendar.

This guide gives you a small launch worksheet and practical tests for your first booking day. You can use them with your chosen booking system.

Write down what each appointment needs

Start with the services you will offer at opening. Give each service a clear name, duration and price. Record who can perform it and whether it needs preparation or cleanup time.

The following worksheet describes a fictional salon. The durations are examples, not industry standards.

ServiceAppointmentTime after appointmentEligible team member
Initial consultation30 minutes0 minutesAnna or Bea
Haircut45 minutes15 minutesAnna
Nail appointment60 minutes15 minutesBea

Replace these examples with your actual services. If a service length depends on the customer’s needs, explain how they should choose the appropriate option.

Match availability to the person doing the work

Opening hours and bookable hours can differ. A salon might open at 09:00 while a particular team member starts at 10:00.

Enter each person’s working hours, breaks and unavailable periods. Set the calendar to Europe/Budapest and check how your system handles seasonal clock changes.

For example, a 60-minute appointment beginning at 16:30 finishes at 17:30. It cannot fit a schedule ending at 17:00. Cleanup time may extend the required block further.

A solo business needs the same checks. Block lunch, purchasing trips and time away from the salon before sharing the booking link.

Keep phone and online appointments in one working calendar

Choose where the team will check availability. Enter appointments received by phone or message into that calendar promptly.

Decide who can move or cancel appointments. Agree on how changes reach the person performing the service. Explain cancellation rules to customers before they complete a booking.

Run these tests before sharing the link

Use clearly labelled test appointments and remove them afterward. Keep a record of any issue and repeat the affected test after fixing it.

TestWhat should happen
Book an available serviceThe correct person, duration and time appear in the calendar.
Try the same person at an overlapping timeThe conflicting appointment is blocked.
Choose a time close to closingThe complete service and required buffer fit within availability.
Try a blocked lunch periodThe blocked time cannot be booked.
Move and cancel a test appointmentIts status and released availability update correctly.
Sign in as a team memberAccess matches the permissions you intended.
Complete the customer journey on a phoneService descriptions, price, currency and confirmation are understandable.

If a test fails, resolve it before inviting customers to rely on the link. A working homepage alone does not establish that booking rules are correct.

Test a conversational assistant with one real task

If your system offers a conversational assistant, compare a supported task with the usual calendar controls.

Create a test appointment, then move it. Check the service, team member, date and time after each action. Record completion time, corrections and any unclear instructions.

Use the method that works best for that task. The useful result is a correctly managed appointment with less effort. A conversational interface still needs the same permission and accuracy checks.

Add team payment tracking when it matches your arrangement

Teams using commission arrangements can also test the path from recorded work to approval and payment status. Agree on the percentage and who approves each entry.

Treat this as operational tracking. Confirm separately which records your accountant needs. A solo business can start with booking and daily administration, then add team processes as it grows.

Share the tested booking link

Place the link on your website and relevant business profiles. Check each link from a customer’s phone. Confirm that it opens the intended salon and language.

During the first week, note repeated customer questions and booking corrections. Update the service descriptions or availability rules that caused them.

What should be ready on opening day?

Your service list, working hours, staff permissions and booking rules should be configured. Complete the test table before publishing the link.

What if I already have a booking system?

Run the same checks on your existing setup. Write down the remaining manual work before considering a change.

A worked LUXNOUS example: processing time is not cleanup time

LUXNOUS distinguishes active service, processing time, extra servicing and blocked time. Processing time can leave the team member free; extra servicing and blocked cleanup time keep that person unavailable. Check these fields separately when you configure a service.

For an example colour service starting at 10:00, set 60 minutes of active service, 30 minutes of processing, 15 minutes of extra servicing and 15 minutes of blocked cleanup. The team member is busy from 10:00 to 11:00, free during processing from 11:00 to 11:30, then busy again from 11:30 to 12:00.

A separate 30-minute service fits the processing gap at 11:00. It does not fit at 10:30 or 11:30 because those times overlap a busy interval. At 12:00 this appointment no longer blocks the team member. Other appointments, working hours, breaks and service eligibility must still allow the new booking.

These example times illustrate the implemented availability rules, not a customer result or a guarantee that a real time is free. Start with the simplest configuration your service needs; only allow work during processing when that is appropriate for your treatment. In a separate test setup, compare the displayed availability with the expected busy intervals before opening bookings.
