Choose booking software for a solo beauty business

By LUXNOUS · Magyar

Choose booking software by testing the work you need it to do. For a solo beauty business, that starts with keeping phone and online appointments in one calendar, protecting your breaks and making changes correctly. Use the same example day in each candidate system, then compare the results and total cost.

This guide provides a worksheet you can copy into your own notes. All appointments, scores and budget amounts below are fictional. They are test inputs, not customer results or a ranking of software providers. Use a demonstration or test account offered by the provider, and check its terms before entering any data.

Write down what your business must be able to do

Start with how you work today. If guests book by phone and through a link, both bookings must affect the availability of the same person. If you work alone, a second staff calendar may matter less than being able to enter a phone booking quickly.

Mark each requirement as essential or optional before looking at a feature list. Include the languages your guests use, your service durations, preparation or cleanup time, and the records you need to keep. Check the guest booking screen as well as the screen you will use every day.

Run the same seven tests in each system

Set up one practitioner working from 09:00 to 17:00 in your business's local timezone. Use a 60-minute service with 15 minutes of cleanup after it, and a lunch break from 12:00 to 12:30. These durations are illustrative; replace them with your real requirements after the comparison.

Run the rows in order using fictional guest details. For the reschedule and cancellation tests, use whichever staff or guest action the provider actually supports. Record who can perform the action and any restriction. A button being present is only the start; inspect the resulting calendar and guest view.

TestActionExpected result
1. Phone bookingEnter an appointment at 09:00 as if taken by phone. One appointment appears. The practitioner is unavailable through 10:15, including cleanup.
2. Online bookingFrom the guest view, book the service at 10:15.One confirmed appointment appears in the same calendar. Its service ends at 11:15; cleanup ends at 11:30.
3. OverlapTry another 60-minute appointment at 10:30 for that practitioner. The conflicting appointment cannot be confirmed.
4. Break and cleanupCheck starts during lunch and during 11:15–11:30 cleanup. Those starts are unavailable. A service must also fit around the break.
5. RescheduleMove the 10:15 appointment to 13:00.The original time is released and the new service plus cleanup blocks 13:00–14:15. No duplicate remains.
6. CancelCancel the moved appointment using the supported action. Its status changes and the time is released, subject to the system's other availability rules.
7. Guest view on a phoneOpen the booking link on a phone and review the service and available times. You can understand the service, duration, price and local date/time before confirming. Note unclear or missing information.

Cleanup and processing time can have different scheduling effects. If you need to serve another guest while a treatment processes, add that requirement to your test. The salon opening booking checklist includes a worked example to help you define the expected result.

Score the result and keep essential failures visible

Give each test 0 if it fails or is unavailable; 1 if it needs a workaround you would not accept; 2 if it works with an acceptable extra step; or 3 if it works as required. This scale is an editorial comparison aid, not an industry standard. Mark essential tests before scoring and record the correction or extra step beside each score.

Treat an essential test scoring 0 or 1 as a blocker. A fictional score of 18/21 that includes a failed overlap test does not outweigh 16/21 with every essential test passed. If a system fails, ask the provider whether a setting explains the result and rerun the same test. Record the tested plan and date, because availability can depend on the plan.

Compare the cost of your expected usage

Request a quote for the plan and options that passed your tests. Include required add-ons, chargeable messages, booking or payment fees and one-off setup costs where they apply. Check usage limits, renewal terms and how cancellation works. A low entry price is useful only if the required workflow fits within it.

The following invented HUF budget shows the calculation. These are not LUXNOUS prices or offers from another provider. All amounts are before applicable tax, and monthly usage is assumed to stay the same.

Cost itemFictional amountReplace with your quote
Monthly subscription4,000 HUF—
Required monthly add-ons1,000 HUF—
Monthly message charges600 HUF—
Monthly booking/payment fees400 HUF—
Recurring monthly total before tax6,000 HUF—
One-off setup6,000 HUF—
First 12 months before tax12 × 6,000 + 6,000 = 78,000 HUF—

For your comparison, use the actual billing schedule and expected usage. Add applicable tax and any costs missing from the example. If a provider charges annually or offers a temporary promotion, write down both the initial payment and the ongoing renewal cost.

Check what you can take with you later

Ask for a sample export using fictional records. Check services and durations, customer contact details and future appointments separately. Open the exported file and inspect which fields it contains. A service-catalog transfer only demonstrates that services can move; it does not establish customer or appointment export.

Record the format, who can request the export, any charge and what happens to access after cancellation. Ask how the destination system would import the file. Plan for records that need manual rebuilding before choosing a switch date.

Choose a system that passes your working day

Keep your current tool if it passes the essential tests and its cost fits your business. If you decide to change, choose from the candidates that pass, then compare the extra steps and full cost. Repeat the calendar tests with your actual service setup before sharing a new booking link.

If LUXNOUS is on your shortlist, compare the salon features and current plans and pricing with your completed worksheet. This guide is published by LUXNOUS. Drafting and translation used AI assistance; the examples are fictional and do not certify any provider's performance.
